Introduction to Email

What is an Email Mailbox

Email is a means of sending data via the internet.
Internet Users can be provided with mailboxes on large internet 'server' computers, where messages sent to them are stored.
These mailboxes are identified by an email address.
The mail address comprises the address of the storage 'server' computer, and the address of the particular person to whom the mailbox belongs.

The system is analagous to ordinary mail sent to a post office box.
The address ABC, PO Box 9949, Sydney 2001 represents a particular mailbox (NO 9949) in the Sydney post office. Mail sent to the ABC is stored in that PO Box until someone from the ABC comes and gets it.

My email address is tlembke@medicineau.net.au. Mail sent to that address is stored in the mailbox tlembke on the server medicineau.net.au until I go and get it. (or 'retrieve it')

Email Clients

To retrieve mail from a server, you require an email client application.

Suitable programs are For Windows & Mac

Setting Up you Email Client

Your ISP should provide you with all the relevant information you need to set up your email client.

This may include some of -

  • For sending mail -
    • Email Address
    • STMP server
  • For receiving mail-
    • User Name
    • POP server
    • Email Account
    • Password
The STMP server and the POP server are ususally the same. If you do not get both sets of information, try using the same name.

Note that the email account and email address may be quite different.

The Email Address is the address that you tell other people, and will be something like yourname@domain.com.au. As noted, mine is tlembke@medicineau.net.au

The actual name of the mailbox may be tlembke, or it may be something quite different that suits the ISP better. Similarly, your POP server may be the same as your email address (medicineau.net.au), or it may be different. It may be mail.medicineau.net.au, or POP.medicineau.net.au, or even lemlink.com.au, for example.

Tech Detail - feel free to ignore -

On the medicineau.net.au server, for example, I can only set up mailboxes up to 8 letters in length.
If you want to have the email address fflinstone@medicineau.net.au, I can set it up so that mail sent to fflinstone@medicineau.net.au is sent to fflinsto@medicineau.net.au.
You would tell others that your address is fflinstone@medicineau.net.au, but your email client would in fact llok for mail in the mailbox fflinsto.
Your account name is fflinsto

The POP server for medicineau.net.au is medicineau.net.au. I can set it up however so that email sent to fflinstone@nrdgp.org.au is diverted to fflinsto@medicineau.net.au - a double alias whammy !! So poor old Fred has email address fflinstone@nrdgp.org.au & email account fflinston@medicineau.net.au comprising username fflinsto & POP server medicineau.net.au

You enter the required details in the New Account Set Up Section of your email client program.

In Outlook Express, you click on the preferences button (on the right of the toolbar)

Given this information by your ISP, you complete the details as below.

There are some confusing differences between different email clients. For example, in Claris Emailer, it asks for Email Account - enter your username@POP address - eg tlembke@medicineau.net.au Having correctly configured your email client, you can test your connection by choosing Send & Receive in the toolbar.

Your email client should log onto the ISP server and download any messages that are there waiting for you.

Then, test your configuration by sending yourself a message. Select New in the toolbar, put your own address next to To:, enter the Subject of your message "Testing" next to Subject: , and type "Testing message - get this" in the large box at the bottom. Then click Send.

When it has finished sending, Click Send & receive again to see if the message comes back to you.

Then, test it out by sending a message to my automatic joke tester. Send a message to jokes@medicineau.net.au, with any subject and message. I will send you back a joke within a few minutes. Click Send & Receive to read it.

If all this works - Congratulations - welcome to the wonderful world of email.
